2026 Exhibitor Terms & Conditions

1. Cancellation Policy

All cancellation and refund requests must be submitted in writing via email to tony@negozee.com.

  • Exhibitors cancelling on or before April 30, 2026 may choose:
    • A 90% cash refund, OR
    • A 100% credit toward a future negozee event.
  • No cash refunds will be issued after April 30, 2026.
  • Approved refunds will be paid within 100 days of approval.
  • If the event is cancelled by Show Management, Vendors will be entitled to a pro-rated refund of booth rental fees after expenses incurred to date have been satisfied.

2. Sponsorship Opportunities

  • All sponsorships must be approved and arranged through negozee.
  • Sponsorships are available only to approved and confirmed Exhibitors participating in the event.
  • Opportunities are allocated on a first-come, first-served basis.
  • Signature sponsorships are limited to one per company per category.
  • Sponsors must provide an electronic logo file and company description. Recognition on websites, signage, or printed materials will not occur until these materials are received and approved.

3. Exhibitor Eligibility & Space Assignment

negozee, Inc. (“Show Management”) retains sole discretion to determine eligibility of all exhibits, including companies, products, services, booth graphics, promotional materials, giveaways, attire, and activities.

  • Booths are assigned on a first-come, first-served basis based on registration and payment date.
  • Show Management reserves the right to revise the floor plan, relocate booths, or reconfigure space as necessary.
  • No refunds or fee reductions will be issued due to reassignment.

4. Event Promotion

Vendor grants Show Management the irrevocable right to use Vendor’s name, logo, and descriptions of products and services in promotional materials for the 2026 negozee National Conference at AVANCE GLOBAL.


5. Exhibit Setup & Display Requirements

Safety & Structure

  • Exhibits must comply with fire, safety, and accessibility regulations.
  • No loose cords or unsafe installations.
  • Free-standing displays must be properly secured.
  • Clear emergency egress must be maintained.
  • Within the front 5 feet of booth space, no structure, sign, rail, or counter may exceed 36 inches in height.

6. Badges & Registration

  • All Vendor personnel must wear a valid 2026 AVANCE GLOBAL badge at all times.
  • Government-issued photo ID is required for badge pickup. Group pickup is not permitted.
  • Badges are non-transferable and non-refundable.
  • Lost badges incur a $50 reprint fee.
  • Each 10×10 booth includes three (3) complimentary staff badges.
  • Additional badges may be purchased for $395 each.

7. Admissions & Exhibit Hall Access

  • Show Management maintains sole authority over admissions policies.
  • No individual may work in a booth, demo room, or hospitality suite without a valid badge.
  • Access to the Exhibit Hall outside official hours is prohibited.
  • Vendors must remove needed materials before hall closure daily.

8. Vendor Participation Requirements

  • Vendor registration must be completed at least 10 days prior to the event.
  • Vendor must exhibit under its registered business name.
  • Full payment and executed contract are required for space confirmation.
  • Show Management may refuse or revoke booth space at its discretion.
  • Booths must be staffed and operational during all exhibit hours.
  • Vendors conducting sales must provide written refund policies.
  • Show Management will not mediate disputes between Vendor and customer.
  • Vendors must provide a Certificate of Insurance (COI) by May 31, 2026 (or within one week of approval if later), covering:
    • September 1–30, 2026
    • $1,000,000 per occurrence
    • $2,000,000 aggregate
    • negozee, Inc. named as additional insured
    • Waiver of subrogation included

Participation is contingent upon receipt of COI.


9. Photography & Recording

  • Recording is permitted only within the Vendor’s booth, facing inward.
  • Subject consent is required.
  • Vendors must obtain signed release forms where applicable.
  • Signage must notify attendees if recording occurs in hospitality suites or demo rooms.
  • All recording personnel must wear event badges.

10. Installation & Dismantling Schedule

Setup:

Sunday, September 13 | 2:00 PM – 7:00 PM
(No setup allowed Monday morning.)

Exhibit Hall Hours:

  • Monday, Sept 14 | 9:00 AM – 5:00 PM
  • Tuesday, Sept 15 | 9:00 AM – 5:00 PM
  • Wednesday, Sept 16 | 9:00 AM – 5:00 PM

Vendors must vacate by 6:30 PM daily.

Dismantling:

Wednesday, Sept 16 | 5:00 PM – 7:00 PM
No dismantling during exhibit hours.

Any materials left behind may be discarded at Vendor’s expense.

Children are strictly prohibited during move-in and move-out hours.


11. Property Protection

  • No affixing materials to walls, floors, columns, or furniture.
  • Vendors are liable for damage caused by their representatives.

12. Conduct & Restrictions

Show Management reserves the right to:

  • Restrict or remove exhibits deemed unsafe, disruptive, or inconsistent with event standards.
  • Close non-compliant exhibits without refund.
  • Deny future participation.
  • Close exhibits deemed aggressive, inappropriate, or offensive.

13. Promotional Materials & Activities

  • All activity must remain within contracted booth space.
  • Aisles must remain clear.
  • Distribution outside booth space is prohibited.
  • Crowd control is the Vendor’s responsibility.
  • Food and beverage distribution requires prior approval (minimum 14 days).
  • Special lighting (strobe/gobo projections) is prohibited.
  • Security required for excessive crowds will be billed to Vendor.

14. Hospitality Suites & Demo Rooms

  • Must be approved and arranged through negozee.
  • Promotional materials must reflect the approved Vendor.
  • Staff must wear appropriate event badges.
  • Food & beverage must be arranged through hotel catering.
  • Alcohol must not be served to minors or visibly intoxicated persons.
  • Directional signage is limited to three (3) signs and must not obstruct traffic.
  • Vendors may not move or block other signage.

15. Liability & Indemnification

Vendor agrees to:

  • Indemnify and hold harmless Show Management and facility from all claims, damages, losses, costs, and attorney’s fees arising from Vendor activities.
  • Maintain adequate insurance coverage.
  • Assume responsibility for theft or loss of property.
  • Comply with all laws, ordinances, and facility regulations.

Neither Show Management nor the facility provides insurance for Vendor property.


16. Children Policy

  • Children under 13 are not permitted.
  • Children over 13 must be registered and badged.
  • All minors must be accompanied by an adult.
  • No children allowed during move-in/move-out.

17. Subleasing

  • Booth space is non-transferable.
  • Subleasing or sharing space without written approval is prohibited.
  • Unauthorized sharing may result in removal without refund.

18. Conflicting Events

Vendors may not host competing meetings or encourage attendee absence during official program hours without written approval.


19. No-Show Policy

Failure to occupy contracted space permits Show Management to reassign the space without refund.


20. Fire Regulations

All materials must comply with local Fire Marshal regulations and be flame-retardant where required.


21. Dispute Resolution

Any dispute arising from this agreement shall be resolved through binding arbitration before JAMS or the American Arbitration Association in San Jose, California. Arbitration decisions shall be final and binding. Reasonable discovery shall be permitted under applicable arbitration rules.


22. Interpretation

These Terms & Conditions form part of the binding contract between Vendor and Show Management. Non-compliance may result in removal from the exhibition without refund.

Vendor agrees to comply with all host facility rules and regulations.
